Position Summary:
The Part-Time Bookkeeper is responsible for accurate and timely transactional bookkeeping, with a primary focus on data entry into QuickBooks Desktop, bank and credit card reconciliations, and accounts payable and accounts receivable processes. This role supports the Finance and Administration Manager by maintaining organized documentation, ensuring transactions are properly coded, and assisting with routine month-end close support as needed.
Key Responsibilities:
QuickBooks Desktop Data Entry & Transaction Processing
• Enter and code vendor bills, customer invoices, credit card activity, bank account activity and journal entries in QuickBooks Desktop.
• Ensure transactions are accurately classified to the correct general ledger accounts, and to classes/departments/programs/projects as applicable.
• Maintain accurate vendor and customer records, including payment terms, contacts, and supporting documentation.
• Organize and retain accounting documentation (invoices, approvals, correspondence) in accordance with internal procedures.
Accounts Receivable (AR)Accounts Payable (AP)
• Process accounts payable from invoice receipt through entry and payment preparation, ensuring appropriate approvals are documented.
• Prepare and coordinate routine payment runs (checks/ACH as applicable), aligned to due dates and direction from the Finance and Administration Manager.
• Respond to vendor inquiries and maintain orderly AP files for audit readiness.
Accounts Receivable (AR)
• Prepare and issue customer invoices as directed; verify billing details and coding for accuracy.
• Record customer payments and apply them to open invoices in QuickBooks Desktop.
Reconciliations & Month-End Support
• Perform monthly bank and credit card reconciliations; research and resolve variances in a timely manner.
• Reconcile assigned balance sheet accounts (e.g., accounts payable, accounts receivable, prepaid items) and maintain clear supporting backup.
• Support month-end close activities as requested.
Documentation, Controls & Administrative Support
• Maintain organized electronic and/or paper accounting files and ensure consistent documentation standards.
• Follow internal controls and confidentiality requirements; escalate issues or irregularities promptly.
• Identify opportunities to improve bookkeeping workflows and documentation consistency.
General Duties
• Communicate proactively with internal staff and external vendors/customers to resolve routine issues and keep processes moving.
• Perform additional duties as needed to ensure accurate financial records and efficient operations.
• Other duties as assigned.
Qualifications & Experience (Preferred)
- 2+ years of bookkeeping or accounting support experience.
- Demonstrated proficiency with QuickBooks Desktop.
- Hands-on experience with accounts payable, accounts receivable, and bank/credit card reconciliations.
- Strong attention to detail, accuracy, and ability to meet deadlines.
- Proficiency with Microsoft Excel (sorting/filtering, basic formulas).
- Ability to handle confidential information with professionalism.
Work Schedule
Part-time schedule: 16 hours per week, typically 2 days per week.
